What Is IBM SPSS Statistics?
Files, Dialogs, Syntax and Add-On Modules

What is IBM SPSS Statistics? It is a program for statistical analysis in which menus build commands, and in which the data, the syntax and the output are kept in three separate files. Some procedures need licensed modules or a separate product.

ANATOMY OF THE PROGRAM

What Is IBM SPSS Statistics Made Of?

Files hold the analysis, licensed components extend it and syntax lets it be repeated, and a methods section can name all three.

IBM SPSS Statistics is a commercial software package for managing and analyzing research data, operated through menus and dialogs or through a command language called syntax. What is IBM SPSS Statistics in practice? A data file, a syntax file and an output file, together with the procedures licensed to run on them. It is used across social, behavioral, health and education research, where its dialogs suit standard analyses such as group comparisons, regression and scale analysis. Inside OnlineSPSS, a specialist statistical consultancy for academic, clinical and professional research, an in-house PhD-level statistician carries out and checks analyses run in the program, and the research question and its conclusions remain the researcher’s.

Three Files, Three Jobs

A .sav file holds the data and each variable’s definition, a .sps file holds syntax as plain text, and a .spv file holds the Viewer’s tables and charts (.spo before version 16). Defining a first dataset is covered in Getting Started with SPSS for Research.

Check: Look at the extensions in your project folder. A .sav and a .spv with no .sps beside them usually mean the commands were run from menus and no syntax file was saved.

2

Menus and Syntax Share One Language

Every dialog builds a command that can equally be typed in a syntax window. SPSS menus and syntax are therefore two ways of operating one program, and a few features, among them looping and the MATRIX language, can be reached only through syntax.

Tip: Pasting instead of clicking OK builds a syntax window one command at a time. Saved as a .sps file, that window turns a menu session into a record that can be rerun and annotated.

3

Base Program and Add-On Modules

IBM SPSS Statistics modules extend the base program, for example Complex Samples for survey designs, Missing Values for multiple imputation and Exact Tests for small samples. The edition and license decide which are present, so a missing menu entry is usually a licensing matter.

Watch: Module names and bundles can differ between releases, so check what your own installation offers before planning an analysis around a procedure described in a textbook.

4

Products That Sit Beside SPSS

Within the IBM family, structural equation modeling is run in Amos, a separate product that reads SPSS data files. A widely used macro for mediation and moderation is a third-party add-on installed separately, so it is absent from a standard installation.

Check: In a methods section, give the version of every component used: the SPSS release, each add-on module and any separate product, since each has its own version number.

5

A Record Others Can Rerun

Kept in one project folder, the data file, the syntax and the Viewer output allow the same tables to be regenerated after a data correction. This is what a committee or journal means by a reproducible SPSS analysis.

Tip: Test the record by copying the folder elsewhere and running the syntax from its first line on the saved data file. If the tables match, no step depended on an undocumented manual edit.

FREQUENTLY ASKED QUESTIONS

Missing Menus and Files to Keep in SPSS

A procedure that is absent from the menus and the question of which files carry an analysis send researchers back to the license and to the project folder.

Usually the license does not include the module that holds it, and the data are not at fault. Procedures are spread across the base program and add-on modules, and an edition contains only some of them. Compare the procedure with the licensed components of your installation, and ask your institution’s license administrator before assuming a faulty installation.

The data file and the syntax file together, with the output file as the record of what was produced. Syntax without the data cannot be run, and output without syntax shows results but not the steps behind them. Record the release number too, because a rerun on another release can print differently labeled tables.

Your data and project details are handled confidentially, and project information is not published. Researcher names and institutions are not used publicly without permission. An NDA is available where required and can be arranged before sensitive materials are shared. Read more about confidentiality and data security.

You share your research question, design and relevant materials, such as the dataset or the output you have, and a statistically trained Research Coordinator reviews the request and responds the same day. The analysis, deliverables, timeline and one fixed project fee are then confirmed before any work begins, so the timeline follows from the agreed scope.

Could Your SPSS Analysis
Be Rerun Tomorrow?

A new computer, a new release or a new collaborator tests whether the data file, the syntax file and the saved output hold together. A record of that kind can be assembled from your session, or an existing one examined.
