Data View, Variable View and Output
SPSS for first-time research users comes down to one split: the data sit in one window and their definitions in another, and most early problems come from a mismatch between the two. Variables are defined before any procedure is chosen.

How SPSS Stores and Reports a Dataset
Five features of the program explain most of what a first research dataset does on screen, and each leaves a trace in the final results.
The essentials of SPSS for first-time research users are few: a dataset whose variables are fully defined, an output file kept for every run and syntax that repeats the work. New SPSS users in research who set these up at the start avoid errors that otherwise surface only in the results. Two Views, Two Jobs SPSS Data View and Variable View divide the work. Data View holds one row per case and one column per variable, and Variable View holds each variable's definition, including its name, type, label, value labels, missing values and measurement level.
Measurement Level Set Honestly Nominal, ordinal and scale settings change how some dialogs list variables and how charts are drawn. A rating item or an ID number left as scale is accepted without complaint and can enter an analysis it does not suit.
Missing Codes Declared Codes such as 99 or -1 are declared in the Missing column, or SPSS counts them as real values in means and totals. How incomplete cases are handled then differs by procedure and by option.
The Output Viewer Every procedure sends titled tables and charts to the Viewer, a separate file from the data. Save it beside the data and note the SPSS version, since table labels and defaults change between releases.
Syntax From the First Run The Paste button in a dialog places the commands in a syntax window instead of running them. Kept in a file, that syntax lets the whole analysis be repeated on a corrected version of the data.

Questions About Setting Up a Dataset in SPSS
A first dataset tends to stall at the point of entry, either in a dialog that hides a variable or in a spreadsheet import with guessed settings.
Why does SPSS not offer my variable in the dialog I need?
Usually the variable’s type or measurement level does not fit the box. String variables cannot enter boxes that expect numbers, and some procedures list variables by their measurement level. Open Variable View and check the Type and Measure columns, and recode text categories into numeric codes with value labels. If numbers were imported as text, convert them before analysis, and look for stray characters that caused the conversion to fail.
Should I type data into SPSS or import it from a spreadsheet?
Either route works, but an import needs more checking afterward. A spreadsheet with variable names in the first row, one row per case and consistent codes reads cleanly through File, Import Data in recent versions. SPSS infers types from the cells it reads, so Variable View must then be completed: labels, value labels, missing codes and measurement level. Compare the case count with the source file.
